Softer Days — Terms & Conditions
1. The Retreat
Softer Days is a creative wellness retreat operated by Audrey De Tremerie (operating as a sole trader / personne physique), yoga teacher, sound bath practitioner, and creative facilitator. Each edition is intentionally kept small and takes place at a residential venue over four days. Specific details — including dates, location, and pricing — are communicated at the time of registration. Participants must be 18 years of age or older.
2. Registration & Payment
Softer Days offers two pricing tiers per edition: an early bird rate and a standard rate. The benefits associated with each tier are detailed on the retreat page at the time of registration.
You may pay in full at the time of registration, or choose a two-instalment plan:
A non-refundable deposit to secure your place, due at registration
The remaining balance, due no later than 30 days before the retreat start date
Payment details will be provided upon registration. Your place is only confirmed once the deposit or full payment has been received.
3. What Is & Isn't Included
The retreat price includes accommodation for the duration of the programme, all meals from the first dinner through the final brunch, all scheduled sessions and activities, and the materials used during them.
The price does not include travel to and from the venue, personal expenses, or travel and personal insurance, which remain the participant's responsibility.
4. Cancellation & Refund Policy
We understand that plans can change. We understand that plans can change. As this retreat is a service to be performed on a specific date, the standard 14-day withdrawal right for online purchases does not apply, in accordance with Belgian consumer law (Code de droit économique, Book VI, Art. VI.53, 8°). Our cancellation policy is as follows:
The deposit is non-refundable under all circumstances, as it covers costs committed at the time of booking
If you cancel more than 45 days before the retreat start date, any balance paid beyond the deposit will be refunded in full
If you cancel 45 days or less before the retreat start date, no refund will be issued
We strongly recommend purchasing travel insurance to cover unforeseen circumstances.
Cancellations must be communicated in writing to info@withsofterdays.com. The cancellation date is the date your email is received.
5. Spot Transfers
If you are unable to attend, you are welcome to transfer your place to another person at no additional cost. Please notify us in writing at info@withsofterdays.com with the name and contact details of the person taking your place. Spot transfers are accepted up to 7 days before the retreat start date. The incoming participant must confirm their acceptance of these Terms & Conditions before the transfer is finalised.
6. Minimum Numbers & Cancellation by Softer Days
Softer Days requires a minimum number of participants for a retreat to proceed. In the unlikely event that this minimum is not reached, participants will be notified at least three weeks before the retreat start date and offered either a place on an alternative date or a full refund, including the deposit.
In the unlikely event that Audrey De Tremerie is unable to lead the retreat due to illness or personal emergency, every effort will be made to find a qualified replacement facilitator. If no suitable replacement can be found, participants will be offered either an alternative retreat date or a full refund, including the deposit.
In the event of cancellation by Softer Days for any other reason, participants will be notified as early as possible and offered either an alternative date or a full refund, including the deposit.
7. Programme & Facilitators
The retreat programme is subject to minor adjustments. In the event that a specific activity or external facilitator cannot be delivered as planned, Softer Days reserves the right to substitute an equivalent activity of comparable value. No refund will be issued for programme adjustments of this nature.
8. Accommodation & Meals
Accommodation is included in the retreat price for the duration of the programme and is in shared rooms. All meals from the first dinner through the final brunch are included, prepared by an on-site chef. Dietary requirements and allergies must be communicated at the time of booking, and no later than 14 days before the retreat start date. While every effort will be made to accommodate restrictions, we cannot guarantee a fully allergen-free environment.
9. Health, Safety & Participation
By registering, you confirm that you are in good health and that participation in yoga, breathwork, sound bath, and creative activities is appropriate for you.
Certain activities, in particular breathwork, may not be suitable for everyone. You confirm that you are not aware of any medical condition — including but not limited to pregnancy, cardiovascular conditions, respiratory conditions, epilepsy, or a history of significant psychiatric illness — that would make participation in these activities unsafe. If you have any medical conditions, injuries, mental-health considerations, or concerns, please consult your doctor before attending and inform Audrey in writing prior to the retreat.
Participation in all activities is voluntary and undertaken at your own risk. Softer Days and its facilitators reserve the right to ask a participant to refrain from a specific activity if it is deemed unsafe for that individual. No refund will be issued in such circumstances.
10. Participant Conduct
Softer Days is a shared, women-only space built on mutual respect and care. The retreat is alcohol-free. We ask all participants to contribute to a safe and considerate environment. Softer Days reserves the right to ask a participant to leave the retreat, without refund, in the event of behaviour that is unsafe, disruptive, or seriously detrimental to the wellbeing of other participants or facilitators.
11. Liability
Audrey De Tremerie, trading as Softer Days, accepts no liability for loss, theft, damage to personal property, or personal injury sustained during the retreat, except where such liability cannot be excluded under Belgian law. Participants are responsible for arranging their own travel and personal insurance.
12. Force Majeure
Softer Days shall not be held liable for any failure to deliver the retreat as planned due to circumstances beyond its reasonable control — including but not limited to natural disasters, extreme weather, fire, epidemic or pandemic, government restrictions, or venue closure. In such circumstances, we will make every reasonable effort to offer an alternative date. Where this is not possible, refunds will be handled as fairly as circumstances allow.
13. Photography & Media
A photographer and/or videographer may be present on-site during the retreat. By registering, you consent to being photographed and filmed for use in Softer Days marketing materials, social media, and future retreat promotion. If you do not wish to appear in any published images or footage, please notify us in writing before the retreat. We will make every reasonable effort to honour your preference, though we cannot guarantee exclusion from all incidental imagery captured in group settings.
14. Privacy & Data Protection
Your personal data — including name, contact details, and any health information you share — is collected solely for the purpose of organising and delivering your retreat experience, on the basis of the contract between us and, for health information, your explicit consent. Health information is treated as special-category data and used only to keep you safe during the retreat.
Your data will not be shared with third parties except where necessary for retreat operations (for example, sharing dietary requirements with the chef). It is retained only as long as necessary for these purposes and to meet any legal obligations.
In accordance with the GDPR, you may request access to, correction of, or deletion of your data, and may withdraw consent or object to processing, at any time by contacting info@withsofterdays.com. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit).
15. Governing Law
These Terms & Conditions are governed by Belgian law. Any disputes will be subject to the exclusive jurisdiction of the courts of Belgium.
